How to Use Apollo.io with Pipedrive for RevOps
Stop manually researching leads. Build an enrichment engine that fills your CRM with verified data automatically.
Apollo.io + Pipedrive integration takes 2-4 hours to set up properly
Primary use case: automatic lead enrichment at point of creation
Sync direction: Apollo → Pipedrive (never the reverse)
ROI: 40% reduction in lead qualification time, 25% higher email deliverability
What is Apollo.io?
Apollo.io is a sales intelligence platform that combines a database of 275M+ contacts with enrichment, sequencing, and intent data. Think of it as your research team on autopilot.
For RevOps teams, Apollo serves two critical functions: sourcing new leads that match your ICP, and enriching existing contacts with verified emails, phone numbers, job titles, and company data. The goal is to make your CRM data accurate and complete without manual data entry.
Why Integrate Apollo.io with Pipedrive?
Instant Lead Intelligence
New lead enters Pipedrive? Automatically pull company size, industry, tech stack, and funding data.
30 data points per contact
Verified Contact Data
Apollo's email verification catches invalid emails before they hit your sequences and tank deliverability.
95%+ email accuracy
ICP Scoring at Scale
Use enriched data to automatically score leads against your Ideal Customer Profile.
3x faster qualification
Why 90% of Apollo-Pipedrive Integrations Fail
We've audited 50+ Apollo implementations. Most are burning money on credits while creating data chaos. Here's what goes wrong:
Continuous sync instead of point-of-creation enrichment
You burn through Apollo credits re-enriching the same contacts monthly. At scale, this costs thousands per year for zero additional value. Worse, it creates 'data drift' where your CRM and Apollo disagree on basic facts.
Enrich once at lead creation. Use a 'Last Enriched' date field. Only re-enrich contacts flagged for review or after 12+ months.
Overwriting existing CRM data with Apollo data
Your sales rep carefully updated a contact's phone number after a call. Apollo syncs and overwrites it with outdated data. Trust in the CRM collapses.
Only update EMPTY fields. Build logic: 'If Pipedrive field is null → update with Apollo data. If not → skip.' This preserves human intelligence.
No data validation layer between Apollo and Pipedrive
Apollo returns 'CEO' as job title, but your Pipedrive uses 'C-Level Executive'. You now have 47 different ways to say the same thing. Reporting becomes impossible.
Build a normalization layer in Make.com. Map Apollo values to your Pipedrive picklist values. Standardize before insert.
Treating Apollo email confidence as binary
You sequence a lead with 60% email confidence. It bounces. Your domain reputation takes a hit. Multiply by 1000 leads.
Only mark 'Email Verified = Yes' for confidence >90%. Route 60-90% to a 'Review' queue. <60% gets flagged as 'Needs Verification'.
Not syncing enrichment failure data
Apollo fails to find a contact. You have no idea. Lead sits in queue forever with 'Unknown' status. Opportunities slip through.
Log enrichment outcomes. Create a 'Not Found' status. Route these to manual research or alternative data sources like LinkedIn.
The best Apollo implementation I've seen enriches 500 leads/day but processes them in batches with human review for edge cases. The worst burns 5000 credits/month on re-enriching the same 2000 contacts. Same cost, completely different outcome. The difference is system design, not the tool.
Step-by-Step Integration Guide
Apollo.io account with API access (Professional plan or higher)
Pipedrive account with admin access
Make.com account (recommended) or Zapier
Defined field mapping document (Apollo fields → Pipedrive fields)
Document your data model
Map every Apollo field to its Pipedrive equivalent. Decide which fields are 'update always' vs 'update if empty'. This document prevents chaos later.
Create custom fields in Pipedrive
Add: 'Apollo Enriched' (date), 'Email Verified' (dropdown), 'Enrichment Status' (dropdown: Success/Partial/Failed/Not Found). These track what happened.
Build the enrichment scenario in Make.com
Trigger: New Person in Pipedrive. Module 1: Search Apollo by email. Module 2: Parse response. Module 3: Update Pipedrive with conditional logic (only empty fields).
Add normalization router
Before updating Pipedrive, normalize Apollo values to match your picklists. Industry 'Software' becomes 'Technology > SaaS' if that's your taxonomy.
Configure error handling
Add error handler module. If Apollo fails → log error, set 'Enrichment Status = Failed', create notification. Never fail silently.
Set up monitoring dashboard
Create a Pipedrive filter: contacts created last 7 days grouped by Enrichment Status. Track success rate weekly. Target: >85%.
Create a test contact with only email address
Verify enrichment triggers within 5 minutes
Confirm company data, job title, and phone populated (if available)
Verify 'Email Verified' and 'Enrichment Status' fields updated
Test with non-existent email → confirm 'Not Found' status logged

How many Apollo credits does this integration use?
Each enrichment uses 1 Apollo credit. If you process 100 new leads/day, budget 3000 credits/month. The key is avoiding re-enrichment. Our clients typically use 1/3 the credits of naive implementations with better data quality.
Should I use native Apollo-Pipedrive integration or Make.com?
Use Make.com. The native integration is limited: it overwrites data, lacks conditional logic, and offers no error handling. Make.com costs $9-29/month but gives you full control over the data flow.
What if Apollo doesn't find a contact?
Log it. Create a 'Not Found' enrichment status and route these to manual research or LinkedIn lookup. About 15-20% of B2B emails won't be in Apollo. That's normal.
How do I handle job title standardization?
Create a mapping table in Make.com. Apollo's 'VP of Sales' → your 'VP Sales'. Apollo's 'Chief Executive Officer' → your 'C-Level'. Invest an hour upfront to build this, and your reporting will thank you.
Can I enrich existing Pipedrive contacts retroactively?
Yes, but do it in batches. Export contacts with missing data, run through Apollo, reimport. Use 'update if empty' logic. Budget the credits separately from ongoing enrichment.
Moet ik native Apollo-Pipedrive integratie of Make.com gebruiken?
Make.com.
Maak een vertaaltabel in Make.com. 'VP of Sales' wordt jouw 'VP Sales', 'Chief Executive Officer' wordt jouw 'C-Level'. Dat is een uur werk vooraf, en het scheelt je elke rapportage daarna.
Kan ik bestaande Pipedrive contacten retroactief verrijken?
Ja, maar doe het in batches. Exporteer de contacten met gaten, haal ze door Apollo en zet ze terug. Ook hier alleen lege velden vullen. En reken de credits apart, los van je lopende enrichment.
